For a Dubai commercial shipment, begin by identifying the importer, the intended customs procedure and the party preparing the declaration. Having a folder of supplier files is useful only when those files describe the goods and procedure being used.
Confirm the declaration arrangement
Dubai Customs’ FAQ explains that companies with a Customs Business Code can submit declarations. It also describes clearance by appropriately licensed agents with a business code and authorisation from the goods owner. Confirm the arrangement for your shipment before treating a freight booking as a clearance instruction.
Ask the responsible party to identify which information is needed from the buyer and which records the supplier or carrier will provide. These Dubai references are not a universal operating procedure for every emirate.
Prepare a consistent goods record
The FAQ includes supplier invoice and packing information among its import-document guidance. Ask your agent to confirm the exact documents for the selected procedure and product. Keep the product description, quantities, package identifiers and parties consistent across the records.
If the order contains several models, avoid replacing the itemised description with a broad label such as “accessories”. Give the agent enough product information to resolve classification questions without guessing.
Control versions before dispatch
Assign one person to maintain the reviewed file set. Record which version each party has received. When goods, quantities or packaging change, notify the declaration preparer and transport coordinator rather than sending an updated invoice to only one of them.
Keep draft estimates separate from the final commercial records. Ask the supplier to correct inconsistencies at their source and retain the corrected version with the shipment reference.
Define the final handover
Confirm who receives release information, arranges cargo collection and contacts the recipient. Give the actual address, receiving hours and any access or unloading conditions. Where delivery goes to a free zone or a different emirate, identify that location early so the appropriate procedure and service scope can be reviewed.
