Build a complete request
Provide the product description, quantity, supplier location and final receiving address. Include gross weight and packed dimensions where known, and flag batteries, liquids or other special goods.
Define the work at origin
Agree whether the scope includes supplier collection, warehouse receiving, quality checks, consolidation, repacking or temporary storage. Inspection means the checks expressly agreed for your order.
Confirm before dispatch
Your shipment-specific quotation should identify the transport option, estimated schedule, included services, excluded charges and delivery handover. A request does not reserve capacity or guarantee a transit time.
Decide whether to assess parcel shipping first
Express is worth comparing when the order can be described and packed as individual parcels. Start with the finished cartons rather than the product's catalogue weight. If an item needs a crate, has an unusual shape or contains a battery or liquid, identify that before asking for a parcel option. The team needs to review the actual goods before confirming whether the proposed service is suitable.
Example: a small order with bulky packaging
Illustrative planning example, not a customer shipment: a buyer orders lightweight display pieces in several large cartons. Ask the supplier for the outside measurements and gross weight of each carton after protective packing. Request the chargeable-weight basis in the quote; this is the weight used for charging and may differ from the goods' weight. Compare any proposed repacking against the protection the pieces need, rather than assuming smaller cartons are always better.
What to include in your parcel request
List each carton separately when sizes differ. Add the product name, material, quantity, supplier collection address and receiving postcode. State whether the recipient is a business and flag any delivery appointment or access restrictions. If the package measurements are estimates, label them as estimates and ask when the quotation will be recalculated. Before accepting, check which collection, destination and delivery charges are included.
