Give providers the same shipment details
Prepare a product description, intended use, package count, packed dimensions, gross weight, collection address and final delivery address. State the container type if it has already been agreed. Include the cargo-ready date and any special handling needs. Ask the provider to identify missing information before issuing a firm quotation.
Compare charges by stage
Use a worksheet with rows for collection, origin handling, international freight, applicable surcharges, destination handling, customs services and final delivery. Add storage and insurance where relevant. For every row, record whether it is included, separately payable, not applicable or awaiting confirmation. Record the currency and calculation basis as well as the amount.
This is a comparison method, not a claim that every shipment incurs every charge. A low freight line does not show the total cost of an incomplete service scope.
Confirm who prepares the declaration
Dubai Customs explains that companies with a Customs Business Code can submit declarations and that appropriately licensed and authorised agents can act for consignees. Confirm the importer and the appointed agent before dispatch. Ask them to review the documents for your particular goods and procedure. Record validity and exclusions
Ask for the quotation’s expiry date and the events that could change it. Clarify waiting time, storage, inspections, changes to cargo measurements and delivery access. Confirm who receives each invoice and who approves additional work. Keep the written scope alongside the final bill so differences can be discussed against the same record.
