Build a useful cargo brief
List each furniture item or fitting with its finish, size, quantity and accessories. Explain whether it travels assembled, flat-packed or in separate components. Link hardware packs, panels and installation drawings to the item they belong to so the receiving team can recognise a complete set.
Plan the handling requirements
Provide photos of glass, stone, exposed corners and finished surfaces that need protection. Ask the supplier for the proposed packaging and finished dimensions. Product volume and packed volume can differ substantially; use the final package measurements for a freight assessment. State whether a crate or pallet can be stacked.
Agree checks and delivery scope
Check the final delivery conditions early: stairs, lifts, loading bays, vehicle access and available unloading help can affect the handover plan. Clarify whether the request is for curbside handover, another agreed receiving point or additional work. Assembly, installation and removal of packing are separate tasks that need explicit agreement.

If information is missing, identify it as pending and ask the supplier for it before confirming the final plan.

Describe the receiving space as well as the furniture
List each finished piece, flat-pack set and fragile fitting separately. Record the final packaged size and weight, including protective frames or crates. Tell the quoting party about access limitations at the destination: stairs, lifts, narrow entrances, appointments or unloading equipment. Ask what the proposed delivery handover includes before making a plan around room placement or assembly.
Example: a cabinet with separate glass panels
Illustrative planning example, not a customer case: a cabinet body and its glass panels are packed separately. Use a shared item reference and distinct package numbers so they remain associated. Ask the supplier to identify which packages must remain upright and provide its packing instructions. If opening the crate for inspection is requested, agree how the contents will be protected and who approves repacking.
Approve finishes with a defined reference
If colour or finish matters, supply an agreed reference and explain the requested check. A photograph can document visible condition but may not settle a colour difference under different lighting. Record unresolved cosmetic questions before dispatch, and retain the supplier's assembly or parts list for the final receiver.
