Build the document pack around the actual import procedure and transport mode. Qatar Customs distinguishes commercial imports from personal imports, so a checklist for a private purchase should not automatically be reused for stock intended for sale.
The official commercial-import guide is the starting point below. Ask the importer or authorised broker to confirm the requirements for the goods before dispatch.
Confirm the commercial import arrangement
The guide refers to evidence of the importer’s activity for obtaining a customs code and to approvals for restricted goods. Identify the importing business and the person responsible for declaration preparation. Give that person an itemised description of the shipment so any product-specific approvals can be checked.
A quotation for freight does not identify all of these responsibilities by itself. Record whether the proposed service includes customs representation and which tasks remain with the importer.
Collect the core documents
The commercial-import section lists an original detailed invoice and an original certificate of origin. Its supporting-document list varies with the mode of transport: it includes a delivery order and bill of lading for air or sea importation, and a manifest for land importation.
The guide also describes a packing list for multiple goods, with HS codes and the relevant international codes for chemicals or hazardous goods. Have the broker confirm the applicable classifications rather than copying an unrelated supplier’s code.
Keep the pack internally consistent
Create a shipment register that links supplier references, product descriptions, quantities and package details. Compare the information across the invoice, packing records and transport instructions. If a supplier changes the contents or packaging, update the parties preparing the transport and customs documents.
Do not silently combine different document versions. Keep a clear final set and a record of who reviewed it.
Plan for clarification requests
The official guide says customs may request Arabic translations of foreign invoices or documents. Ask the broker how such a request would be handled and who would arrange the translation. It also sets out provisions for original documents and record retention; the broker should explain how those provisions apply to the declaration.
The aim is to prepare the right information before dispatch, not to promise that every shipment will clear without questions or examination.
Connect clearance with final delivery
Confirm who receives notice when cargo can be released and who arranges collection or delivery. Give the receiving contact, full address and any site appointment requirements. Keep delivery coordination distinct from the customs release itself.
